How Visitor Management System Enhances a facilities Naughty or Nice List

We are not referring to Santa’s list we are talking about how certain industries must vet all visitors before entering the building. Within this blog, we explain how the MyLobby visitor management streamlines this process. Also, we will introduce each of the compliance standards of each industry, like ITAR Compliance, and provide a tangible action plan to ensure your organization achieves compliance.

ITAR Compliance

International Traffic in Arms Regulations (ITAR) is an export control regulation run by the US Government. It controls access to physical materials or technical data and is restricted to US citizens only. If you look at it, access on physical materials can be easily limited while digital data is more complicated.

If you are a contractor, distributor, wholesaler, third-party supplier, or computer software/hardware vendor, then you need to follow ITAR Compliance.

The penalties for ITAR infractions are:

  • Civil fines up to $500,000 per violation
  • Criminal penalties of up to $1 million and/or 10 years imprisonment per violation

With the penalties stated for violating ITAR, it makes sense to protect the digital data of your company. When you have visitors to your facility, you should have the ability to control their access and ensure that your employees know how they may interact with the visitor.

C-TPAT Compliance

C-TPAT, or the Customs-Trade Partnership Against Terrorism, is a U.S. Customs and Border Protection program that secures all goods entering the United States. C-TPAT pre-checks for containers going to the U.S. from foreign suppliers. CPAT is a voluntary program that makes sure that the importers will be held responsible for implementing the best practices for security and avoid running into problems when the orders arrive at the border.

MyLobby has partners that provide a service that has an active checklist that will allow you to cross reference an individual’s organization that are blacklisted. Here is the overview of the list:

  1. Procedural Security
  2. Personnel Security
  3. Physical Security
  4. Information Security

FSMA Compliance

If you are trying to get an ITAR Certificate, you will know that companies in the food industry are responsible for maintaining compliance. It consists of seven FDA rules that set the standard for food safety practices and procedures.

For your reference, here are the FDA compiled a database of mitigation strategies including the following visitor management requirements:
• Ensure that there is a definite check in/check out procedures at security or reception areas
• Using a visitor management system which requires proper identification, escorts, and adherence to rules regarding restricted access
• Implementing a policy for driver check-in and vehicle documentation review

Now that you’ve been introduced to the different compliance regulations, you will notice they have one thing in common, they need to be screened prior to entering the building. Depending on the levels of scrutiny, our visitor management system can do this by one of two ways:

  1. Integration with third-party screening application
  2. Questionnaires in MyLobby interface at the point of entry
  3. Pre-registration. Each visitor will be given an invitation to the QR code. Once they are arriving in the facility they simply scan their QR code on the tablet for express entry into the facility.

The tablet on site will capture the following information:

  • ITAR Compliance AndroidFirst and last name
  • Company name
  • Head and shoulder picture of the visitor
  • Email
  • Phone number

In addition, the compliance form can be customized to ask a series of questions All this information captured and stored. In the event any query needs to be made about any visitor, they can be easily searched as each entry is indexed.

As you can see, the MyLobby visitor management system can ensure all visitors or comply with any compliance regulations. Furthermore, MyLobby can expedite and streamline your visitor management process.
